Create templates for appointment inquiries and frequently asked questions to avoid spending time constantly typing out the same response. Remember to give your brand a tone as to how you want people to view you and your brand. By keeping a consistent tone with your clients or prospective clients, using templates and simply changing out the name, dates, types of services will make it easier on you. 

 

If you are accustom to Style Seat or any other booking tool, great. I just find emailing makes the communication more personable. Also, emailing allows me to control my schedule better versus having some book an 9am appointment, then a 5pm appointment. That is a long day just for 2 appointments. Emailing also allows me to keep up with all communication between each client. Sometimes information stated over the phone may get misconstrued or can be interpreted differently. Having evidence of what was exchanged between both parties have saved us many of times in the past

Unavailable Appointments: Always respond to inquiries whether you’re unavailable or not for their appointments. When there is no response at all, the client will be reluctant to reach out for an appointment again. There are times when we respond with, “Keep her in mind for future appointments” they then book a future appointment with me just because of the verbiage we include in this email. Always be approachable and courteous to clients. I have learned that customer service goes a long way in this business.

Yes, the deposit secures the appointment. The total is $110 and you'll pay the $60 balance here at the studio after the appointment. There's also an option to pay in full if you prefer.

Unhappy client

  • Customer service maintains clientele and it’s important to respect and protect your clients time, money and emotions, so showing remorse while offering discounts or complimentary service may be the only thing that gets that client to return. At the end of the day, we cannot please everyone, but building your brand it’s important to at least try. When we receive bad reviews for artist that work in our studio, many of times those artist has not followed up to rectify the issues with those clients. That then leads to the client leaving a bad review to just be heard in hopes that they will be accommodated for any mishaps that they didn’t cause. Just remember to be kind and don’t treat anyone any other way than how you would like to be treated. If you have a hard time removing all emotions and keeping it strictly business, consider hiring an assistant or virtual assistant to help with emails.

Unfortunately, there has been an oversight on our end and we have double booked. We are extremely sorry and hopefully we can accommodate you as much as possible for our mistake. Are you available to come in an hour earlier? If not what other time are you available to come in on August 11th? With the time change we will be happy to discount the price of makeup by 50%. If another time does not work for your schedule, I will be happy to offer you a complimentary service for another day and/or time. Again we apologize and please let me know if there is any other way we can accommodate you.
