Communicate the policy of how far out brides can book your services.

I do not allow brides to book out any further than 9 months out so that I can maintain a balanced schedule. I am extremely FAIR when it comes to this policy. Although, a bride may be the first to reach out for specific date (before 9 months out), the bride that reaches out within the proper time frame, signs contract, and places deposit first, will be able to secure the date.

 

When I started out as a bridal artist, I would book 1-2 years out, it stressed me out and it didn’t allow me to effectively plan out my schedule. I inform my brides to set an alarm in order to be the first to secure the date and they do.

 

Here is an example of an email that we send to brides inquiring if they inquire earlier than 9 months.

Thank you for your inquiry. Alaina currently books weddings 9 months out subject to availability. Please reach back out in _(9 months out)__ for _(wedding date inquiring about) availability.
 

 

When a person inquires for bridal services and we are available and it is within the proper timeframe, we respond with this email.


 

Good Afternoon _________,

 

Thank you for your inquiry. Currently, ____________ is available for booking. I have attached the wedding pricing guide for reference. Let me know if you have any questions upon viewing. To secure a booking, a 30% deposit and signed agreement are required.

Once the client is ready to secure the date we follow up with this email. The reason I don’t like to send everything at once is to avoid the prospective client seeing unnecessary information. In the past we have had other vendors (makeup artist) reach out to us just to see how much are prices are and obviously have no intentions of booking so don’t create more work for yourself than you have to.

Below is the information needed to draft the agreement to sign along with the 30% deposit invoice to secure the __________ date .
Please let me know if you will also like to secure a date to receive a consultation. 

 

Information Needed To Secure Wedding Date: 
 

1) Location where services will be provided. (i.e. hotel, venue)

2) Ceremony location (if different from service location)

3) Ceremony Start time? 

4) What time do you need all make up applied by? 

5) Names of other members requiring services (List them in order of service. Max 6)

6) Best reached contact number

We then draft a contract that we have created and added to adobe sign to send off for signature. Give your brides 7 days to place deposit and sign the contract. If they do not do so within 7 days, cancel contract. With the brides not submitting contract and deposit within time frame given, the client is not following your policies. Sometimes when we cancel a contract, it causes the bride to send deposit and contract immediately after so that they don’t lose that date, which can be possible if they don’t lock within those 7 days. This protects you as an artist from holding up your schedule and it the clients respect your time more moving forward. It’s up to you to set the tone as to how you should be treated by your clients. 

 

Once the contract is signed, enter all necessary information in your calendar so that you can access the information the day of the wedding quickly.

Create a pricing guide with all bridal services and packages. Make the document a PDF and create an organized, clean, and elegant PDF with all bridal information to avoid a lot of questions from prospective brides.

  • It’s not necessary to have bridal consultations, but to put your bride at ease, suggest that they come in for a makeup application.

  • Write down all products that were used or keep in notes on phone.

  • Take pictures so that you can refer back to the look.

  • Also discuss tattoo or scar coverage if needed.  

  • For brides that do not come for consultation having them submit a look will prepare you for their day.

  • The looks sent beforehand will allow you to pack lighter and bring only what’s needed to create look

  • Communicate Expectations before and up to the day of wedding

  • Sometimes brides change their mind the day of wedding especially after seeing the different looks on bridesmaids. Talk about the entire look before you get started.

  • Allow your bride to request changes once makeup is complete

  • Brides get very anxious so it’s important that you remain calm and allow bride to look at a mirror to see the entire look and make changes if necessary.

  • Don’t be afraid to voice if the changes they are requesting is not a good idea and tell them why. 

  • Accommodate the bride as much as possible.

  • Offer onsite services as well as an in studio option to give the bride a choice.

  • I have an area in Color Du Jour Studio where I can service large bridal parties and its convenient for both me and the bridal party. I allow them to bring in their own food beverages, champagne and clothes needed to change into. Sometimes brides choose this option to avoid booking a room.

I even include in my notes all the products that I use from the consultation so that I can move faster the day of the wedding. Everything that I need for that day is in the calendar so that you aren’t having to read through the contract on the day of the wedding.

Remember, all payments should be taken 2 weeks ahead of wedding date. Be sure to put the date in your calendar and set an alarm for when you need to collect final payments.

 

For weddings I have to travel to domestically, this is the email that we send to those clients.

Domestic Travel Weddings - $1,750 all-day rate (9 hours) (plus 1-night‬‬ lodging)

*The bride may use the 9 hours provided in the following ways.

I. Bridal Applications (approx 75 mins)

II.Bridal Party / Mother Applications (approx 50 mins, maximum of 6)

III. Bridal Touch-ups / Eyeshadow Changes (approx 20 mins)

 

Payment Terms:

30% deposit and signed contract to reserve date

Balance due 2 weeks before the wedding

*When you travel for weddings, you should never have to come out of any money. Some makeup artist ask for a per diem for food, but I choose to take care of that expense myself.

 

*For weddings I have to travel to internationally, this is the email that we send to those clients. Keep in mind the $1750 rate increases on the amount of days needed to travel and the number of hours your services are needed.
